Who we are

This website is operated by the Rotary Club of San Antonio, a nonprofit service club, at rotarysa.org. When this policy says “we,” “us,” or “the club,” it means the Rotary Club of San Antonio.

What we collect

If you send a message through a contact form on this site (including the main contact page, board-member contact, and member-nonprofit contact), we collect:

• Your name, email address, and message.
• Origin details used to operate and protect the form, such as approximate network location (for example IP address and country), browser user agent, and related request metadata.
• A Cloudflare Turnstile token that proves the submission came from a real browser session, used only to reduce spam and automated abuse.

We do not ask contact forms for payment card numbers. If you browse the site without submitting a form, we still use a small set of cookies and similar storage as described below.

Why we collect it

We use this information to:

• Read and respond to your inquiry.
• Route the message to the right club staff or volunteer.
• Reduce spam, bots, and abuse of the forms.
• Keep an operational record of submissions for club staff.

Who processes it for us

We use service providers (processors) to host the site and handle submissions. They process information on our behalf to provide those services:

• Cloudflare — website hosting (Cloudflare Pages) and Turnstile, the spam-protection check on contact forms.
• Sanity — the content management system that stores pages and site settings.
• Resend — email delivery of legitimate contact-form messages to club inboxes.
• Google Sheets — a staff worksheet of form submissions so club staff can follow up.
• Cloudflare D1 — an archive of form submissions (including items flagged as spam) used for operations and abuse review.

Cloudflare Turnstile is provided in Invisible mode. Cloudflare’s processing of Turnstile data is described in the Cloudflare Turnstile Privacy Addendum.

Cookies and similar storage

This site uses:

• A theme cookie (named theme) if you choose light or dark mode, so the site can remember that preference.
• A short cookie-notice banner. If you dismiss it, the browser stores that choice in local storage (not a tracking cookie) so the banner does not keep reappearing.
• Cloudflare Turnstile, which may set cookies or similar storage as part of the spam check. See the Turnstile Privacy Addendum linked above.

If website analytics (Google Tag Manager / Google Analytics) is enabled for this site, that tool may also set cookies. The cookie notice on the site mentions cookies and analytics. Preview/draft cookies are used only by editors working in the CMS, not by ordinary visitors.

How long we keep information

Contact-form messages and related origin metadata are kept as long as needed to respond to you and to operate the club’s website and inbox workflows, including the staff spreadsheet and D1 archive. We do not keep this information in order to sell it or to build marketing profiles of visitors.

We do not sell your data

We do not sell your personal information. We do not share contact-form submissions with third parties for their own marketing.
